Automate Community-Based Mentorship Matching for Youth Education

Problem

Austin Aspires provides youth development and educational services, including tutoring and mentorship programs. When community members and youth participants register for these programs, the organization matches mentees to mentors. Historically, this manual process was time-intensive and taxing on their small team, requiring them to orchestrate registrations across paper forms, Google Forms, and spreadsheets.

Solution

Prometheus paired Austin Aspires with a developer to streamline this matching process and centralize program registration. Our matched talent developed an Airtable database with relational tables storing data for program registration, mentees, and mentors.
The talent built out registration forms that populate these tables in Airtable automatically, and built out an algorithm in JavaScript using this information to identify and recommend the best mentor matches for each mentee. These recommendations automatically update with each registration form submission. They also configured email notifications automation so that program participants would receive emails containing details about status updates and next steps.
